Client Portal

We are focussed on ensuring that our customer-service is of the highest quality. In addition to being contactable by phone 24/7, we have developed an online system named "Client Portal" that is explained below. Please contact us if you need any additional information.

New customers are requested to fill out an online quote request. We will create a profile for you and respond promptly with a quote and your new login details.

You can then login to Client Portal where you can:

Complete and maintain your profile

Your contact information and event details are stored in our system. Via our online phone book we can quickly contact you. Additionally, when you book your next event we will already have all of your details, and if the event is identical or similar to your previous event, we will only need to amend the information that has changed, without going through the whole quotation process again. With regular clients we complete a "Regular Client Event Briefing Sheet" that comprehensively lists all of the operational requirements for your event so that our medics are well informed consistently in what you require from us.

Receive notifications of actions required

We have especially included a "notifications" function to promote user friendliness. You will be prompted in the "notifications" section of actions required by you. You will also receive an email when a new notification is made.

Make a quote via our online quoting system

To help us get you a quote sooner, we need certain information about your event and the services you require. To make a new quote, fill out the questionaire as comprehensively as you can. We will respond as soon as possible with a quote and any suggestions we may have regarding the medical management of your event. Remember, nothing is too hard - even last minute bookings!

Approve a quote

Once you are satisfied with a quote you can approve it. With one click the system will automatically make a booking. We will then proceed with allocating medics to your event.

Manage your bookings online

Once a booking is made you can view your booking in the system. You can also change your booking, but you may also need to contact us via phone to ensure that we get the message in time. We may also need to collect more information from you to ensure that our medics are comprehensively briefed about your requiremens. 

View your post-event reports

Once your event is over, our medics will complete an online event report which will be released to you when completed. Information that may be contained includes the number of hours of coverage provided, a summary of patients treated (presenting complaint, severity, referral), any incidents that occurred, and any feedback our staff have regarding their interaction with you and ways to improve this. The reports are automatically generated in a generic format for ease of reading. You can request additional information from us if the report is not sufficient.

Access patient care data

As part of the event reporting process, our medics will complete an online case report for all patients treated at your event. These reports will be saved into our online archive as medical records. All case reports where the patient has consented to the release of their record will be available to you for review. All other case reports will be de-identified and abbreviated in adhering to the principles of patient confidentiality.

View invoices online and make payment

Once the actual hours of coverage provided is finalised by our medics, we will send you an online invoice that you can view. You will then be prompted to make a payment. Prompt payment is encouraged so that our medics can be paid for their work. Any delays in payment may jeopardise future event bookings.

Provide feedback

You will be prompted to provide feedback regarding our service and ways we can improve. We are always keen to improve our service, and are especially eager to hear your feedback regarding our new online system.
